Space Planning and Management (SPM) at The University of Alabama plays a vital role in optimizing space utilization and ensuring that university facilities effectively support students, faculty, staff, and campus programs. By tracking, documenting, and reporting on university space and asset data, SPM enhances productivity within departments and colleges while maintaining a strategic approach to facility planning. The department is integral to the implementation of the Campus Master Plan, ensuring that campus spaces align with the University’s long-term goals and evolving academic needs.

To maintain accuracy and efficiency in space utilization, SPM conducts routine audits and observations, verifying and updating space data to reflect current usage. These efforts are supported by advanced technologies, including access control data, video surveillance, Cisco DNA Space data, and individual occupancy sensors. This data is managed through AiM, the University’s facility space management software, which enables real-time reporting, improved situational awareness, and a seamless room reservation system.

SPM collaborates closely with campus leadership to enforce the UA Space Occupancy and Allocation Policy. Biweekly meetings with the Associate Provost and the Senior Associate Vice President for Campus Development ensure that space-related issues are continuously evaluated and addressed. Additionally, the Space Advisory Group provides oversight on space policies, procedures, and allocation strategies. Comprised of key representatives from academic and administrative divisions, this group meets quarterly or as needed to assess space priorities and recommend actions to University leadership.

Beyond space optimization, SPM supports strategic campus development by producing visualization renderings for the Board of Trustees (BOT), offering 3D printing services for architectural massing models, and maintaining the Building Information Repository (BIR). The department also plays a crucial role in emergency preparedness by developing Building Emergency Plans that enhance campus safety.

Through data-driven decision-making and continuous collaboration with colleges and departments, SPM ensures that the University’s spaces are efficiently utilized to foster academic excellence, research innovation, and student success. By integrating advanced technology and strategic planning, SPM enhances the University’s ability to adapt to changing needs while maintaining a sustainable and effective campus environment.
